Preparation 1. Hold team meeting: discuss event, location, date, budget, activities, sound, promotion, speaker, MC, musicians, approximate number of participants, and follow-up, Team 2. Send invitation/request to musicians, speaker, MC, and volunteers, DB/AP 3. Request permission to use park or community center, DB 4. Plan activities (crafts, games, competitions) & get supplies & prizes for each activity, AP/MP 5. Request use of chairs and tables from United at the Cross Church, DB 6. Create a draft program and schedule of events, LC 7. Plan food (what, how much, paper products, drinks, tablecloths, purchase, prep, setup, cleanup), AH/AP 8. Create and reproduce flyers/brochures to distribute to community, AP 9. Make response cards (for those that want more info, give their lives to Christ, etc), LC/AH 10. Hold project team meeting to update each other and make sure on same page, Team Implementation 11. Contact speaker/musicians with final details (length of time to present, what time to be at event, etc.), DB 12. Distribute flyers to community, Team 13. Purchase food and supplies, AH 14. Write thank you (and small honorarium) for speaker and musicians and bring to event, LC 15. Pick up tables and folding chairs from church, and set up at location, DB/MP 16. Bring sound equipment, set up and run equipment, AP/AH 17. Bring grill and supplies (matches, charcoal, fluid) and grill food, MP/LC 18. Meet speaker ( DB ), musicians ( AP/MP ), volunteers ( AH/LC ), and community ( Team ) at outreach 19. Collect all response cards and give to Daren, Team 20. Clean up – break down sound equipment, activity centers, tables, food, etc, and gather trash, Team
